PA to Country Manager - Part Time

Job description

Reporting directly to the Country Manager. The Assistant to the CM provides executive, administrative, and development support. Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CM. Serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.


Role and Responsibilities:

  • Acting as a first point of contact, dealing with correspondence and phone calls on behalf of the CM.
  • Managing diaries and organising meetings and appointments.
  • Assisting the CM with daily administrative duties and completes a broad variety
    of administrative tasks that include managing an active calendar of
    appointments; completing expense reports; composing and preparing
    correspondence; arranging travel plans, itineraries and agendas and compiling
    documents for meetings.
  • Reminding the CM of important tasks and deadlines.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Managing databases and filing systems.
  • Implementing and maintaining procedures/administrative systems for the CM.
  • Liaising with staff, suppliers and clients on behalf of the CM.
  • Collating and filing expenses for the CM.
  • Administering miscellaneous tasks to support the Country Manager, which will
    vary according to the business area and to the manager’s remit.
  • Reviewing and prioritising all incoming emails, telephone calls and wide variety
    of internal and external enquiries and handling them when appropriate.
  • Providing a professional point of contact whilst dealing with people of all levels.
  • Preparing presentations for meetings and conferences.
  • Monitoring, organising and maintaining the CM’s diary and making appointments in Outlook.
  • Producing documents, briefing papers, SOPs, reports and presentations.
  • Collating documentation and relevant briefing papers for meetings.
  • Carrying out a broad range of administrative duties to include expenses, processing invoices, raising Purchase Orders, electronic and paper filing.
  • Providing general assistance to CM during meetings / presentations.
  • Communicating with the general staff on the CM’s behalf and coordinating
    logistics with high-level meetings both internally and externally.

Profile

Essential Skills and Experience:

  • Significant experience operating as a PA or executive assistant to a senior
    management team with strong administration and organisational skills.
  • Skill in composing letters, drafting proposals and preparing presentations with an
    excellent command of the English language.
  • Excellent organisation skills.
  • Detail-orientated.
  • Ability to understand the business functions with all round commercial
    knowledge.
  • The ability to communicate at all levels, building relationships whilst maintaining
    professionalism and sensitivity when dealing with colleagues at all levels.
  • Dealing with external customers/partners.
  • Enthusiasm, initiative and a pragmatic approach to problem solving.
  • Experience of minute taking at a senior level.
  • Polite telephone manner.
  • Intermediate levels of proficiency with Microsoft Office programmes.
  • Ability to prioritise and diplomacy.
  • Discretion and confidentiality is essential.
